Import Client Data From IRIS

The Import Wizard can be used by Digita Accounts Production Advanced to import and create entity data and transaction data for multiple clients from IRIS. The import process results in a client for each selected IRIS client.

The Wizard can also be used to import clients and data from Sage files.

The following details are imported:

• Client data:
  • Client code
  • Client name
  • Business address
  • Business postcode
  • Registration no.
  • Registered address
  • Registered postcode
• Officer data:
  • Type
  • Names
  • Initials
  • Gender
  • Commencement date
  • Officer cessation dates
• Accounting data:
  • The latest IRIS accounting period trial balance is imported into an accounting period in Digita Accounts Production Advanced and prior period values are imported as comparative data.

Import data from IRIS, as follows:

1. Select File | Import to access the Import Wizard.
2. Select the IRIS option from the list in the Source area and click Next to open the Select source data dialog.
3. 1. Click the Server ellipsis to select the server where the database is located.
   2. Enter your Username and Password.
   3. Select the required database.
4. Click Next to list the clients in the database.
5. Tick the boxes to select the clients and periods you wish to import, un-tick them to eliminate them from the import. Ticking the top level boxes will automatically tick the associated boxes directly beneath. Accounting periods can only be selected from the newest to the oldest and must be contiguous. If you wish to save the import to JSON files, tick the Save selection to JSON option , click Next to select a directory to save the JSON files to and then click Finish. Alternatively, if you want to associate a template with the imported clients...
6. Click Next to continue.
7. Use the ellipsis button to browse to and select the entity Template you wish to be associated with the imported clients and click OK to bring in the template to the above dialog.
8. Once the template has been selected the Account Codes options become active. Select the Map IRIS accounts to Digita accounts option if the selected template has codes, but they differ to the codes in the imported file. Select the Use IRIS accounts option if the template selected doesn’t already have account codes or uses the same codes as the importing file.
9. If the Map IRIS accounts to Digita accounts option has been selected, click the ellipsis button to open the External Account Mapping dialog to map the incoming account codes with the existing template codes.

To map the accounts, drag and drop the accounts from the imported file (left-hand column) to the accounts in the current period (right-hand column).

Add further codes via the New Account dialog by clicking New from the External Account Mapping dialog

10. Click OK to confirm and close the External Account Mapping dialog, if used.
11. Click Finish to complete the client import process.

If you have ticked the Save selection to JSON option at step 5, the resulting JSON files can be imported via the File | Import menu by selecting the Digita Accounts Production / JSON option.
