The software uses formulae to calculate tax figures, rather like a spreadsheet. When you are preparing a schedule, it is important only to input figures into appropriate cells. Cells which accept numbers are coloured dark blue in normal (data entry) mode on standard schedules. In certain versions of the software such as the Basic module (Accountants market) you will not be allowed to enter data into non data-entry cells.
Sign conventions
In general, the sign convention used within the software uses the debit / (credit) sign convention, for example income on the D schedule is shown as a negative figure, expenses as a positive figure. The sign convention for completing cells will vary occasionally according to the schedule type. The sign convention for each schedule will be shown as part of the title in the left-hand corner of the screen.
Entering a figure
To enter a figure onto a schedule, you should first move the cursor to the cell required and then type in the figure, remembering to use a minus sign if appropriate. If you wish to reverse a sign having entered the number, you can do this by selecting the appropriate cell or cells and clicking the sign reversal icon.
Entering text
To enter text simply type the relevant letters. No source is required.
Entering dates
Any two-digit years below 10 are automatically treated as 20xx; years above and including 15 are interpreted as 19xx whereas years 10 to 14 inclusive will be rejected as invalid and will have to be entered in full as a four-digit years.
Entering queries and notes (only available in Risk module for Accountant users)
Queries, responses to queries and notes may be entered by using the <F3> key or choosing Edit, Source from the menu.
Notes are annotations to schedules intended to be sent to HMRC as part of the final computation. A cell with a note attached will be shown on screen with N to the right of the cell contents.
Queries are points to be resolved before computations are finalised. Final computations cannot be printed whilst there are undeleted queries. Queries are printed out at the front of the computation and noted on the schedule where the query arises.
A cell with a query attached will be shown on screen with a ? to the right of the relevant cell (see F9 - Go to Query). You can also raise a response to a query, which will be identified by an R adjacent to the query symbol.
You can clear all queries which have been responded to by means of the Edit, Clear, Answered queries menu option.
Note: You will be able to print in final mode where all queries have been responded to and the software has been configured to allow this.
Reminders (only available in Risk module for Accountant users)
The Reminder functionality is enables you to record reminders for the following year's computation.
Reminders are entered and edited in a similar way to queries, that is, either by pressing F3 to bring up the Source, Note & Query dialog, or by right clicking in the prompt window (the grey area at the bottom of the screen), and selecting the Reminders option on the popup menu.
A Reminder can be placed on any cell within the current year computation. When the current year file is rolled forward, the reminder will be moved into the corresponding cell in the rolled forward computation and be displayed as a query.
Layer dates
The date and time of any changes for a Note, Query, Query response and Reminder are automatically recorded by the system and enables to user to keep track of all changes made.
They can be displayed by right clicking on the prompt window (the grey area at the bottom of the screen) and selecting Time/date (notes/queries/reminders). A separate time/date for each layer will then appear as appropriate. Each one will only appear if the currently selected cell has the relevant layer. For example, if the current cell does not have a query attached to it, Query date will not appear.
Hints
If a cell has helpful hint a letter 'H' will appear on the right hand side of the cell. Hovering over the cell will result in the hint appearing.
