Set Up Your Firm For E-Filing

In order to file documents electronically to Companies House on behalf of your clients, you must have a Companies House presenter’s electronic filing account.

When you file statutory accounts to Companies House from Digita Accounts Production Advanced, these presenter account credentials will be included automatically. For them to be included however, you must first record them in Onvio Company Secretarial:

  1. Sign in to Onvio.
  2. When the Onvio Home page is displayed, click the menu button at the top-left and select Onvio Secretarial.
  3. When Onvio Secretarial is displayed, click Setup | Presenter Details in the menu bar.
  4. In the Presenter Details page, enter the credentials that Companies House have assigned to your presenter account, specifically Presenter ID and Authentication Number. Both are normally eleven characters long.
  5. Enter an email address that Companies House can contact in case of a query. This will be included in each submission. You can use any convenient email address and change it later if you want to.
  6. Each submission is given a submission number and a transaction ID. A presenter account must not use the same number twice for either of these. If you have previously filed documents to Companies House from another e-filing system, then increment the Next Submission Number and Next Transaction ID so that they are higher than the highest respective numbers used by that other system. If you still use that other system for filing, including Digita Company Secretarial, then leave an adequate gap between its current highest numbers and next numbers that you specify for Onvio. This will allow for continued use of that other system while avoiding numbering clashes. Very high numbers can be specified if required.

Once you have entered your presenter details, click Save.

You should also ensure that you have the correct project template for accounts filing available. Check this as follows:

  1. Sign in to Onvio.
  2. When the Onvio Home page is displayed, click Setup | Projects | Project Templates in the menu bar.
  3. Check that the template ID: ‘ACCFILE’ and Name: ‘Accounts Filing’ is listed.

If the template is not listed, then:

  1. Click Import.
  2. Locate the template ID: ‘ACCFILE’ and Name: ‘Accounts Filing’.
  3. Click Import.

The template should now appear in your project template list.
