Import Client Data From Sage Accounts Production

The Import Wizard can be used by Digita Accounts Production Advanced to import and create entity data and transaction data for multiple clients from Sage Accounts Production. The import process results in a client for each selected Sage client.

The Wizard can also be used to import clients and data from IRIS and Sage Accounts Production Advanced files.

The following details are imported:

• Client data:
  • Client code
  • Client name
  • Trading name
  • Business address
  • Business postcode
  • Date of incorporation
  • Registration no.
  • Registered address
  • Registered postcode
  • Contact details
  • Solicitor name and address
  • Auditor name, address and date of engagement
  • Accountant name, address and date of engagement
  • Bank name and address
• Officer data:
  • Names
  • Gender
  • Commencement date
  • Officer cessation dates
  • Signatory details
• Accounting data:
  • The latest Sage accounting period trial balance is imported into an accounting period in Digita Accounts Production Advanced and prior period values are imported as comparative data.

Import data from Sage, as follows:

1. Select File | Import to access the Import Wizard.
2. Select the Sage Accounts Production (SAP) option from the list in the Source area and click Next to open the Select source data dialog.
3. Use the ellipsis button to browse to and select the appropriate source data folder.
4. Select the folder and click OK to bring the folder into the Select source data dialog.
5. Click Next to list the clients in the folder.
6. Tick the boxes to select the clients and periods you wish to import, un-tick them to eliminate them from the import. Ticking the top level boxes will automatically tick the associated boxes directly beneath. Accounting periods can only be selected from the newest to the oldest and must be contiguous.
7. Click Next to continue.
8. Use the ellipsis button to browse to and select the entity Template you wish to be associated with the imported clients and click OK to bring in the template to the above dialog.
9. Once the template has been selected the Account Codes options become active. Select the Map Sage (SAP) accounts to Digita accounts option if the selected template has codes, but they differ to the codes in the imported file. Select the Use Sage (SAP) accounts option if the template selected doesn’t already have account codes or uses the same codes as the importing file.
10. If the Map Sage (SAP) accounts to Digita accounts option has been selected, click the ellipsis button to open the External Account Mapping dialog to map the incoming account codes with the existing template codes.

To map the accounts, drag and drop the accounts from the imported file (left-hand column) to the accounts in the current period (right-hand column).

Add further codes via the New Account dialog by clicking New from the External Account Mapping dialog.

11. Click OK to confirm and close the External Account Mapping dialog, if used.
12. Click Finish to complete the client import process.
