This option, which is accessed via the Format menu, allows the format of text and dates within cells to be altered and also their original settings to be reset.

You can also remove all cell formats which have been set, in addition to defining lines, data entry cells and the fonts used on non-standard schedules.

Numbers

The numbers option allows the user to change the way that numbers are displayed. It can also be accessed via the Numbers icon found on the button bar. Currency symbols are displayed against the first non-zero entry in the column and the totals. Figures are displayed with commas, (e.g. 1,000). Figures are displayed with currency symbols and commas after the thousands (e.g. £3,000). Figures are displayed without formatting, (e.g. 1992). Figures are displayed as percentages (e.g. 30%). It is also necessary to specify a number of decimal places. This is the standard way the software displays figures, namely without a currency symbol and with commas separating the thousands. The scalar check box allows a cell to be specified as a pure number (i.e. without currency, such as a year) Display number to the nearest whole currency unit. Entries are displayed rounded to the nearest thousand and with a trailing "k". Entries are displayed rounded to the nearest million and with a trailing "m". This is the usual way the software displays numbers, namely in full. Enter the number of decimal places to which a range of figures are to be calculated and displayed. Note that these two are always identical in the software, unlike some other spreadsheet packages.

Text

The text option allows the user to change the presentation of text, equivalent to button above.

Notes for attaching to cells may be entered using the <F3> key (only when working within Risk module - Accountant users).

Dates

The dates option allows the user to set different date formats to dates entered as DD/MM/YY. The options are:

Any two-digit years below 10 are automatically treated as 20xx; years above and including 15 are interpreted as 19xx whereas years 10 to 14 inclusive will be rejected as invalid and will have to be entered in full as a four-digit years.


Copying dates from an Excel file

When copying date information from an Excel file, some care is needed over the format of the date in Excel. For example, the product has difficulty in recognising the format 31/12/00.

The solution to this is for the date in Excel to be recognisable in text form. Using the format 04-Mar-1997 works for this. Another way of dealing with this is to remove or apply no format to the date in Excel.

Reset

The Reset option resets the format of individual cells to the global format (i.e. the format of the computations as a whole).

Note: this deletes ALL local formats for these cells, which may previously have been input.
