A file may have various related documents. Links to related documents may be stored in a file so a user can easily locate and access them.
Insert a related document
There are several ways related documents can be added to a file.
The menu option Edit > Insert related document... adds a related document to the active file. Right-clicking on the Related Documents folder in the navigator (while in status or folder view) and then selecting Insert New Related Document... from the popup menu provides the same functionality.
When these options are selected the file open dialog is displayed. The document to be linked to the file may be browsed for using the dialog, then click OK. Alternatively if the document has a URL the Insert URL Related Document... button should be clicked. The Insert Related Document dialog will then be displayed. If the user browsed for a file the Path: text box will be populated with the file path and disabled, if the Insert URL Related Document... button was clicked the user can enter the URL of the related document in the URL: text box. The user should enter a description for the related document and click the Insert button. The related document will be shown in the related documents list in the navigator.
Related documents as sources
When a number is entered in a cell and the user is then required to enter a source, the user may right-click in the source layer of the edit bar and a popup menu will appear. The popup menu will also be displayed if the user right-clicks on the source layer in the edit bar of a cell that already has a source. The Insert New Related Document... option allows the user to enter a new related document as the source using the dialog described above. If the user has the URL for the new related document on the clipboard they may choose the Paste Related Document URL... option, they will then be required to enter a description. The descriptions of all the related documents of the active file will also be listed in the popup; the user may click on one of these descriptions to use an already related document as the source. The underlined description of the related document will be show in the source layer of the edit bar. The related document will be shown in the related documents list in the navigator.
Open a related document
A related document can be opened by double-clicking the description of the document the navigator related documents list. If the related document description is in a cell source the document can be opened by ctrl+click on the description in the source layer of the edit bar. A related document may also be opened by right-clicking on the related document in the navigator and selecting the Open Document... option.
Edit a related document path or description
The path or description of a related document may be changed by right-clicking on the related document in the navigator and selecting the Edit Document Path... option. A dialog will be displayed; the user can edit the path or description and then click the Edit button. If the description is edited cell content or sources that refer to the related document will be updated with the new description.
Remove a related document
A link to a related document may be removed from a file by right-clicking on the related document in the navigator and choosing the Remove Document option. If there are cells that have sources that refer to the related document link being deleted a warning will be displayed asking the user if they want to remove the link. If the user confirms that they want to remove the link to the document the cell sources that linked to the document will still contain the description of the document but will no longer link to the document.
Printing related documents list
When a document that contains references to related documents in cell contents or sources is printed in draft or review the list of related documents is included in the print out.
Reviewing cells with related documents
The reviewing bar may be used locate cells that have links to related documents as their source.
Cells that have links to related documents as their source may be reviewed by right-clicking on the related document in the navigator and clicking the List Cells... option. A dialog box listing all the cells containing a link to the document will be displayed. The user may print or export the list from the dialog.
Printing a file to PDF
When a file is printed to PDF a dialog box is displayed asking the user if they would like to add the PDF to the list of related documents for the active file. If the user clicks yes, the file is added to the list of related documents.
Taxpack
If sheets are exported to Taxpacks the Taxpacks will be added to the list of related documents. When Taxpacks are imported, if the Taxpack is imported from a different location to where it was exported the path of the Taxpack in the related document list will be changed to the path where the Taxpack was imported from. If a Taxpack export is undone the Taxpack will be removed from the list of related documents.
Filing online (UK CT Filing Only)
When filing online, if PDF files of the accounts or additional documents to be submitted have been linked to a file as related documents, the user may add these to the submission. After selecting File > File Online the user will be able to choose from related documents by clicking the Linked Documents... button which is displayed on some of the pages in the wizard.
